1. Overview

This Refund & Cancellation Policy explains how NZDAA handles cancellations, refunds, and transfers for registrations across our examinations, teacher development programmes, and related services.

This policy forms part of our Terms & Conditions. By registering for any NZDAA service, you agree to be bound by this policy.

2. Cancellation Periods

NZDAA operates two annual assessment sessions (July and December). The cancellation window is calculated from the published session start date.

2.1 More than 30 Days Before the Session
- Full refund minus a $15 NZD administration fee, OR
- Transfer to a future session at no additional cost

2.2 15–30 Days Before the Session
- 50% refund of the registration fee, OR
- Transfer to a future session at no additional cost

2.3 Less Than 15 Days Before the Session
- No refund will be issued
- Transfer to a future session may be permitted at NZDAA's discretion, subject to availability and a $30 NZD transfer fee

2.4 No-Show
- If you do not attend the assessment or programme without prior notice, no refund or transfer will be issued

 

3. How to Request a Cancellation or Transfer

All cancellation and transfer requests must be submitted in writing to:

Your request must include:
- Your full name
- Registration confirmation number or date of registration
- The programme or examination registered for
- The reason for cancellation (where relevant)
- Whether you are requesting a refund or transfer

Requests are processed within 5 business days of receipt. The effective cancellation date is the date your written request is received.

4. Medical and Compassionate Cancellations

If you are unable to attend due to documented medical reasons or significant personal circumstances, NZDAA may grant a full refund or transfer regardless of the standard cancellation window, at our discretion.

To apply:
- Submit your request to info@nzdaa.nz within 14 days of the missed session
- Provide supporting documentation (medical certificate, etc.)
- Each application is assessed individually

5. Cancellations by NZDAA

If NZDAA cancels or postpones an examination or programme for any reason — including insufficient candidate numbers, examiner unavailability, venue issues, or circumstances beyond our control — you will be offered:

- A full refund of fees paid, including any administration fee, OR
- A transfer to the next available session

Registrants will be notified by email as soon as possible. NZDAA is not liable for any indirect costs (such as travel, accommodation, or time off work) you may have incurred.

6. Refund Method and Timing

6.1 Card Payments (Stripe)
Refunds will be processed to the original card used for payment. Funds typically appear within 5–10 business days, depending on your card issuer.

6.2 Bank Transfer Payments
Refunds will be issued by bank transfer to a New Zealand account nominated by you. Funds are typically received within 3–5 business days of processing.

6.3 Administration Fee
The $15 administration fee covers payment processing costs and is non-refundable. Where applicable, this is deducted before your refund is issued.

7. Teacher Development Programmes

The same cancellation periods and refund structure apply to Teacher Development programmes (Artistic Teacher Training and Fundamentals Teacher Training).

For multi-day certification courses:
- Partial attendance does not entitle you to a partial refund
- Materials and certificates are only issued upon completion of the full programme

8. Group and Studio Registrations

Where a studio or organisation registers multiple candidates on behalf of their students:

- Cancellation requests must be submitted by the registering studio
- Individual student withdrawals within a group registration are subject to the standard cancellation periods
- Refunds will be issued to the original payer (the studio account), not directly to individual students

 

9. Transfers Between Programmes

Transfers between different examinations or programmes (e.g. Artistic Level 4–5 to Level 6–7) may be approved at NZDAA's discretion. Any difference in fees must be paid or will be refunded accordingly. Transfer fees may apply.

10. Non-Refundable Items

The following are non-refundable under any circumstances:
- Administration fees ($15)
- Transfer fees ($30, where applicable)
- Bank fees or currency conversion charges incurred by your payment provider
- Certificates already issued

11. Consumer Rights

Nothing in this policy limits your rights under the Consumer Guarantees Act 1993 or other applicable New Zealand consumer protection legislation.
